Customer Care Specialist cum Office Manager

An exciting opportunity has arisen to join a reputable international organisation in Ho Chi Minh City. This dual-role position is perfect for someone who thrives on variety, enjoys supporting both customers and colleagues, and excels at keeping operations running smoothly. You will be the linchpin of the office, ensuring seamless day-to-day business functioning while also delivering exceptional customer care.

Report to: SEA Office Director (Office Manager) and Customer Care Supervisor (CCS)

Key Responsibilities

Customer Care Specialist (60%)

  • Answer customer calls
  • Record customers’ requests in Salesforce by creating cases, case follow-up
  • Create Work Order and assign tasks to Technical Support team
  • Service quotation and spare parts quotation preparation
  • Open quotation follow-up
  • Release Sales Order to SAP system and follow up the backlog until the invoice is issued
  • Manage Field Service Technicians’ travel for the zone technical teams
  • Entry point for customer services and managing the technicians' scheduling
  • Follow all assignments through to their completion: parts, field service, technical service or other and measures customer satisfaction
  • Invoicing 3rd Party & Intercompany
  • NPS collection and data consolidation for the region
  • Follow up with the detractors from NPS survey
  • Updating of salesforce & SAP customer databases and customer information
  • OT / occupancy / absence hours consolidation, Order Uniform, tool boxes for the technicians
  • Payment collection (AR)
  • Elevate unresolved concerns to designated Superior in the company
  • Communicate regularly with other individuals/departments within the organization
  • Perform related duties as assigned or required to meet company goals and objectives
  • Complete the tasks assigned by the line manager

Office Manager (40%)

  • Manage daily office operations to ensure smooth business functioning.
  • Coordinate with vendors, service providers, and building management for maintenance, repairs, and office services.
  • Coordinate with Group IT for local IT assets management and office IT readiness.
  • Develop and maintain office policies, procedures, and administrative systems.
  • Organize company meetings, events, and employee activities.
  • Maintain office records, contracts, and documentation in an organized manner.
  • Support employee onboarding and offboarding process by coordinating IT devices , facilitating new hire orientation and managing offboarding checklist.
  • Support HR and Finance by serving as the local point of contact with the VN team and coordinating with external business partners including bank, company secretary, insurance company, consultants and auditors etc.
  • Ensure compliance with health, safety, and workplace regulations.
  • Manage office budgets, expense tracking, and invoice processing.
  • Assist management with administrative projects and operational initiatives.
  • Identify opportunities to improve office efficiency and implement best practices.

Qualifications Requirement:

  • Bachelor’s degree in business administration, Commerce, Science, or a related field preferred.
  • 3–5 years of experience in customer service functions & office management is a plus.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Good in English communication
  • Strong problem-solving abilities.
  • Ability to work independently and manage multiple priorities.
