A prestigious organization in Ho Chi Minh seeks an Executive Assistant to the CEO. This role offers the opportunity to become a trusted business partner, providing high-level executive, administrative, and project support to ensure efficient hospital operations. The position offers professional growth under the mentorship of an experienced CEO, exposure to complex projects, and flexible working opportunities in a supportive environment.

What you’ll do:

  • Manage the CEO’s schedule and priorities: Oversee the CEO's calendar, appointments, and travel arrangements (including visas and accommodation) to ensure effective time management.
  • Screen communications and visitors: Handle correspondence, phone calls, requests, and visitors with sound judgment on prioritization and escalation.
  • Prepare and organize documents: Review, prepare, and organize documents requiring the CEO’s attention, ensuring accuracy, completeness, and sufficient background information.
  • Maintain confidential records: Safeguard corporate records, legal documents, licenses, contracts, and correspondence with absolute integrity.
  • Organize executive meetings: Plan Board meetings, Management Committee sessions, and other key meetings chaired or attended by the CEO. Prepare agendas, supporting materials, and accurate meeting minutes while following up on action items.
  • Translate or interpret as needed: Facilitate clear communication during meetings with internal or external stakeholders through translation or interpretation.
  • Coordinate strategic initiatives: Track milestones, deadlines, and deliverables for special projects assigned by the CEO. Conduct research, prepare briefing papers or presentations, and support operational analysis.
  • Liaise with stakeholders: Professionally interact with board members, government authorities, legal advisors, business partners, and corporate offices on behalf of the CEO.
  • Ensure compliance: Manage corporate authorizations, Powers of Attorney, licenses, regulatory filings, and statutory documentation to meet compliance requirements.

What you bring:

  • Educational qualifications: A Bachelor’s degree in Business Administration, Management, Law, Finance, Economics, or a related field is required.
  • Professional experience: At least 5 years of experience supporting C-suite executives or senior management in multinational companies or professional service firms. Experience coordinating complex projects involving multiple stakeholders is essential. Exposure to healthcare, consulting, legal, or finance environments is an advantage.
  • Interpersonal skills: Strong ability to interact confidently with senior executives, doctors, government authorities, and external partners.
  • Leadership and organizational abilities: Excellent coordination skills with a strong sense of ownership and accountability to manage competing priorities effectively.
  • Proactive mindset: Resourceful and able to work independently with minimal supervision while maintaining high standards of reliability.
  • Analytical thinking: Strong problem-solving capabilities paired with sound judgment to address operational challenges effectively.
  • Confidentiality and integrity: Absolute discretion in handling sensitive information is critical for this role.
  • Technical proficiency: Proficiency in Microsoft Office Suite is required for document preparation and communication tasks. Fluency in English (written and spoken) is essential.
