HR & Admin Specialist

A leading international organisation is seeking an HR and Administration Specialist to join their Ho Chi Minh City branch. This is a unique opportunity for you to play a pivotal role in supporting both human resources operations and office administration, ensuring seamless communication between local teams and global headquarters. You will be at the heart of recruitment, onboarding, compliance, and daily office management, making a meaningful impact on team member experience and organisational success.

Report to : Sr. Office Manager - based in CHINA

Location : HCMC, Vietnam

Key Responsibilities

  1. Human Resources Support

Recruitment & Onboarding

  • Support recruitment activities: screening resumes, conduct initial interviews, write candidate reports, coordinating interviews schedules, and prepare offer documents etc
  • Assist with onboarding tasks including orientation, document collection, and company policy training.
  • Maintain accurate team member files and HR records.

Team member Relations & Compliance

  • Serve as a first point of contact for team member questions about company policies, programs and procedures etc.
  • Assist with probation tracking, contract renewals, performance reviews, training and development, employee relations, etc
  • Help ensure compliance with Vietnamese labor regulations by coordinating with external HR/payroll vendor (EOR).
  • Support team member engagement activities.

Payroll & Benefits Administration

  • Coordinate monthly payroll and mandatory social insurance with third‑party provider (attendance, leave, reimbursements etc).
  • Support administration of team member benefits, leave tracking, and company activities
  • Work closely with Vietnam EOR on all HR, admin. and compliance matters

Performance & Training Support

  • Help coordinate performance review timelines and collect required documents.
  • Assist in arranging internal training sessions or external workshops.

Expatriate Support

  • Support expat with needed documents collection
  • Assist with some relocation logistics (apartment viewing coordination, local orientation).

  1. Office Administration
  • Support daily office operations including procurement and office management
  • Assist with payment processing, reimbursement submissions, office procurement and monthly expense tracking.
  • Coordinate logistics for meetings, events, and visitor arrangements.
  • Provide IT coordination support (liaising with corporate IT for setup or troubleshooting).

Job Requirements

Education & Background

  • Bachelor’s degree in HR, Business Administration, or a related field.
  • Knowledge of Vietnamese labor regulations and HR processes.
  • HR certification is a plus but not required.

Work Experience

  • Above 8 years of HR experience, preferably in a multinational company with English language as the main working language.
  • Minimum 3 years experience in recruitment for manager level positions
  • Experience working with cross-cultural teams is an advantage.

Language Skills

  • Proficient in English and Vietnamese (written and verbal).
  • Comfortable communicating with foreign colleagues and local authorities.

Core Competencies

  • Proven strong recruitment skills;
  • Strong organizational and multitasking skills.
  • Detail-oriented, reliable, and proactive.
  • Good interpersonal skills and ability to handle confidential information.
  • Comfortable working independently with guidance from senior HR/management.
